Role Summary:
We have an exciting new opportunity for a Senior Agency Operator to join the team in Denmark. The role holder will be a key member of a team responsible for providing hours a day, days a week on-call service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office.
In addition to a standard working week, you will be required to undertake work outside of usual office hours on a rota basis.
There will be regular travel expected to ports in the region.
Key Duties and Responsibilities:
Overall Management of Inchcape Scandinavia: Ensure operational excellence, business growth, and alignment with organizational goals across Danish ports. Development of Infrastructure and Port Presence: Lead the expansion of operational capabilities and enhance the organization's footprint in key Danish ports. Coordination of Port Appointments: Take ownership of the entire port agency process, from initial enquiry and nomination to completion, ensuring seamless service delivery for various port agency and husbandry calls. Monitor CLS and Husbandry Calls in Danish ports: Supervise Poland and delivery of husbandry services across Denmark. Training and Development: Provide mentorship and training to staff, fostering internal talent development and equipping operators with necessary skills. Customer Engagement and Market Development: Actively engage with customers, identify new business opportunities, generate sales leads, and gather market intelligence to stay competitive. Governmental Services Development: Establish and grow relationships with local vendors, creating a robust service offering in strategically important ports. Drive Business Drivers: Ensure organizational productivity, efficiency, and achievement of financial and operational targets through effective leadership and team collaboration. Outside office hours: Ensure off-duty officer responsibilities is split in a structured and organised manner among members of staff. Each member of staff to held accountable for their off-duty responsibilities. Coordinate all vendors and suppliers well in advance of vessel arrival to ensure a smooth flow of all services with the aim to minimise vessel idle time in port. Receive advance schedules and ETAs and work with port authorities, terminal and port services providers pro-actively to look after Principal’s best interests for berthing and working prospects. Prepare PDAs and request pre-funding as required. Manage the pre-arrival documentation process between vessel, port/terminal and government authorities. Book port services for vessel berthing and sailing (arranging Pilots, Towage, Lines etc) Keep Principal and all stakeholders updated with berthing and sailing prospects and provide real time progress reports when vessels are in port and working cargo. Coordinate husbandry services for vessel, including but not limited to crew changes, technicians and ship visitors, spares, provisions, Cash to Master, bunkers, fresh water and the off-load of garbage. Raise Light Dues certificates if required. Arrange vessel surveys and inspections as required. Prepare Statement of Fact, cargo and customs documentation as required. Manage customs clearances as required. Keep any principal specific operating systems updated as per their requirements. Boarding of vessels on arrival and/or departure, and as otherwise required to. Welcome and meet with the Master and complete local formalities. Deliver manifests and parcels and collect any outgoing mail. Collect arrival and departure data/conditions (times, bunkers, cargo figures etc) Complete any cargo documentation. Maintain up-to-date records of port, terminal and berth information, restrictions and tariffs. Receive and respond to proforma port and husbandry cost requests. Ensure data integrity of Inchcape internal systems for all appointments including service ordered costs (PDA/CE) and timely handover of jobs to Finance. Ensure compliance to SOPs, KPI’s, and customer specific standing instructions and requirements. Ensure compliance to customer specific standing instructions and requirements, keeping the customer regularly informed throughout. Escalate any operational issues or problems in a timely manner to the line manager.
Identify, propose and drive initiatives to increase efficiency of operations, reduce costs and improve customer service delivery. Request pre-funding as required and ensure adherence to OK-to-Sail requirements. Ensure any special or standing disbursement instructions are communicated to DA Team. Ensure all suppliers well understand invoicing procedures and contacts. Assist DA Team with chasing ageing outstanding vendor invoices. Assist the line manager with rates gathering and negotiation for the completion of new business customer tenders. Identify any future business opportunities by escalating potential new business to the line manager. Perform any other tasks that relate to the port agency function as/when business needs dictate.
Candidate Requirements:
Prior port agency experience or a background or education in the maritime, shipping or logistics field is desirable Maritime or ICS shipping qualification (or willing to work towards) desirable
Driven and ambitious to further a career in the maritime sector in an operations role Have strong communication and leadership capacities with a hands-on attitude Excellent time management skills; multi-tasking in a fast-paced pressured environment Ability to prioritize workload to meet strict timelines calmly Strong attention to detail Comfortable dealing with different nationalities/cultures and levels of authority (ships’ Captains etc) Competent user of the Microsoft Office suite including Outlook, Excel and Word Experience working in a front facing customer service role Experience of working to pre-defined processes and procedures Experience of (or willing to work in) an out of hours (non-Monday to Friday) role Experience of being rostered on-call with a duty phone desirable Experience working in a corporate / office environment desirable You will receive:
