Role Summary:
Th purpose of this Team Leader position is to drive outstanding Marine Service Delivery through active engagement with internal / external customers and stakeholders. The Team Leader is responsible for managing and supervising the day-to-day business of the respective department. Alongside, manage and distribute workload and ensure effective management of KPI’s.
Key Responsibilities:
Team Management: Manage staff, share best practice, and drive operational excellence, by way of developing Principal and Vendor relationships, and ensure internal/external procedures are followed by team members. Coach and train team members. Set, monitor and review team members objectives and work schedule. Proactively working as part of the Inchcape organization to assist other team members and other departments to achieve the organizational goals and objectives. Maintain constant contact with customers representatives to notify movements and changes to meet deadlines and avoid fines for customers. Operate systems to issue the required documentation allowing berthing and departure of vessels, fulfilling legal requirements. Issue Bill of Lading (BL), Cargo Manifests at the end of operations, ensuring that the original documents are timely delivered at customer's offices. Follow new guidelines from regulating agencies, seeking to keep the client and other internal teams updated of requirements and regulations that interfere in the berthing and unberthing operations. Attend meetings with Clients for clarification of pending issues or blockages, as well as guidance on changes to regulatory standards. Operations Excellence: Perform vessel’s operations as directed by port management and in accordance with Inchcape policies and procedures so that all relevant procedural/legislative requirements are fulfilled in delivery a quality service that fully meets the principal’s needs. Keep in close contact with Ship Operator for coordination and arrangements.
Customer Service Excellence:
Deliver a positive customer experience at all opportunities to both internal and external stakeholders whilst ensuring compliance with regulatory and principal requirements. Working proactively to maximise customer experience. Documentation: Processing inward and outward clearances of all vessels at the ports covered by the port office by ensuring compliance of the required documents with laws and regulations as set down by government authorities such as Immigration, Customs and Port Authorities. Crew Movements: Carry out crew changes, medical cases and crew shore passes as per vessel/principal’s requirements to accomplish speedy turnaround of vessels. Customer/Vendor Relationship: Establish and maintain formal and inform relationships with principals, relevant government departments and agencies, local authorities and service providers to exchange information and views to ensure that the company is providing the appropriate range and quality of services. Data Quality and Integrity: Perform accurate and timely updates of POPDA/Optic and other systems to meet principals’ requirements and key performance indicators set by the company and principal. Updates: Providing the port and head office management with updated information on local rules and regulations, changes in port charges as and when notifications are received to enable the company to update operational and documentation procedures and inform the principals so that full transparency of port operational requirements and costs are communicated. Safety, Quality and Environment: Ensure strict compliance to all relevant safety, quality, and environmental procedures in accordance with Inchcape Quality Management System and Inchcape Health and Safety Environment policies and procedures to deliver highest service quality to the customers. Teamwork: Proactively working as part of the Inchcape organization to assist other team members and other departments to achieve the organizational goals and objectives. Vessel / Terminal Visits – attend to vessels calls in port. Communication – proactive, hands on and professional communications to all internal and external stakeholders. Service Delivery: Ensure data integrity of ISS systems. Align ISS corporate policy and strategy to all operations. Ensure operational and financial KPI’s are met or exceeded. Ensure compliance to ISS “Guidelines for Local Performing Agents”, KPI’s, and/or customer specific standing instructions and requirements. Ensure excellent services are provided to all customers by responding in accordance with the agreed Service Level Agreements (SLA) and keeping the customer regularly informed throughout. Connect with employees by being responsive, accessible and open. Responsible for maintaining a positive work environment. The post holder will carry out any other duties as are within the scope and purpose of the job as requested by the Line Manager and ensure full utilization of all Inchcape systems according to Standard Operating Procedures.
Candidate Requirements:
A good knowledge of Port Operations and Port Agency Competent user of the Microsoft Office suite including Outlook, Excel and Word Strong communicator both written and verbal Ability to prioritize work and perform under pressure and adhere to strict timelines Able to effectively manage work and work unsupervised Experience of working in a leadership role in the shipping /maritime industry Experience of managing a small team Experience of working with an operating or customer relationship management system Experience of working to pre-defined processes and procedures and delivering work in accordance to SLA’s Flexibility for out of hours working as/where business dictates You will receive:
