Location: Permanent Contract in Copenhagen

Your Mission:

As the Global Onboarding Specialist, you’ll play a crucial role in our People & Culture team. You will support our business’s growth by managing the end-to-end onboarding process, ensuring a seamless experience for new employees as they transition into their roles. You’ll be part of the Organisational Development team, designing and facilitating learning experiences that drive business performance.

 

Your Responsibilities:

  • Manage the complete onboarding journey, from welcoming new hires to ensuring a smooth start into their roles.
  • Execute the engagement plan throughout the onboarding process, ensuring a great experience for all new employees.
  • Prepare and distribute onboarding welcome gifts and materials.
  • Develop and communicate clear policies and handbooks explaining company operations.
  • Send out essential communication regarding onboarding agendas, equipment, dress code, perks, and other key information.
  • Ensure new hires have technical support for setting up hardware/software, and provide necessary guidelines, manuals, and passwords.
  • Host all onboarding sessions and coordinate presentations.
  • Set up employee profiles in HR systems, audit data, and manage documentation distribution.
  • Facilitate the alignment of new hires with their managers and teams, ensuring a smooth handover process.
  • Serve as the primary point of contact for hiring managers and new employees throughout the onboarding journey.
  • Provide regular reports and updates to team leads or senior management.
  • Prioritise and manage your workload to meet deadlines efficiently.
  • Continuously improve onboarding processes by identifying innovative, scalable, and measurable solutions.
  • Ensure confidentiality and compliance with all processes.
  • Proactively challenge the status quo, recommending and implementing process improvements.

 

Objectives of the Role:

  • Deliver necessary resources and support to ensure a successful transition for new employees.
  • Shape and develop comprehensive onboarding programs that reflect the company’s values and culture.
  • Lead new hire orientation sessions, introducing employees to the company’s mission, vision, and policies.
  • Collaborate with HR, hiring managers, and other stakeholders to ensure smooth onboarding experiences at local and global levels.
  • Oversee completion of new hire paperwork, including employment contracts, benefits enrolment, and IT setup.
  • Monitor new employee progress and provide support where needed.

 

Your Tasks:

  • Plan and coordinate onboarding logistics, scheduling, and preparing materials.
  • Conduct orientation sessions to introduce new hires to company culture, values, and policies.
  • Guide and support new hires throughout their onboarding journey.
  • Ensure legal and administrative compliance in all onboarding procedures.
  • Assist new hires in completing necessary paperwork, including employee forms, benefits, and IT setup.

 

Required Skills:

  • Extensive experience in onboarding and recruitment, with a proven track record of successful onboarding processes and employee retention.
  • In-depth knowledge of onboarding best practices, HR policies, procedures, and employment laws.
  • Strong organisational skills with the ability to streamline onboarding processes efficiently.
  • Excellent communication and interpersonal skills to build rapport with new employees and create a positive onboarding experience.
  • Strong attention to detail and the ability to manage multiple onboarding tasks simultaneously.
  • Flexibility and adaptability to accommodate the diverse needs of new employees.
  • Experience collaborating with remote teams and previous corporate onboarding experience.
