About the position We are seeking a skilled and motivated Grant Manager/Officer to lead the administration and coordination of grants within a dynamic international organization. As a Grant Manager/Officer at ICARS, you will play a vital role in ensuring the effective administration, monitoring, and reporting of external grants that will assist in mitigating antimicrobial resistance (AMR) . Working collaboratively with the ICARS team and external partners, you will manage external grant processes that support innovative, evidence-based projects in Low- and Middle-Income Countries (LMICs). This role will focus on a key grant supporting impactful projects and activities across Africa, advancing sustainable solutions to AMR.
This is a full-time position based in Copenhagen, Denmark. This position is time-bound for three years. It has the option for extension if alternative funding opportunities are identified.
This position offers a unique opportunity to contribute to AMR mitigation at the science-policy interface and collaborate closely with ICARS science advisors and project teams in LMICS.
You will be part of an inspiring team of more than 40 highly skilled experts representing more than 20 different nationalities.
The ICARS office is in a nice campus area, close to public transport and with the center of Copenhagen just around the corner.
Tasks and expectations Under the supervision of Director of Operations, and as part of our Monitoring, Evaluation, Accountability and Learning (MEAL) Team, you will be responsible for the upstream grant management with external donors as well as where relevant downstream grant management in relation to implementation of the program. This will include ensuring the compliance requirements are met and that grant reporting is coordinated, timely and of high quality.
In this role you will participate in upstream grant management, including:
- Establish strong, effective and positive communication lines with external donors for specific grants received by ICARS
- Ensure that ICARS is fully informed and complying with grant regulations set out by the external donors
- Maintaining grant compliance and reporting, including outcome measurement and grant budgets at high quality, effectiveness, timeliness and completeness:
- Monitoring donor reporting schedules and requirements
- Tracking progress towards organisational and programmatic outcomes
- Requesting disbursements of grants when needed
- Drafting progress reports and targeted program updates from technical project implementation
- Coordinating and drafting all materials and documents, including financial reports (in collaboration with the finance team), deliverables tracking (in collaboration with the MEAL team) and case studies that are required as part of donor reporting (in collaboration with the Science Team)
- Ensuring that external funders are acknowledged through ICARS communication mechanisms (website, newsletters and social media)
- Establishment of agreements with downstream partners in close collaboration with the responsible science advisor
- Assisting the responsible science advisor with planning and implementation of project activities.
Other activities may include:
- Collating information and draft documents, reports and/or presentations for different purposes
- Supporting other administrative tasks as needed
- Archiving all email communications and relevant documents according to Danish laws
- Assisting with any other tasks requested
Limited international travel may be required in this position.
Your background, professional and personal qualifications We are looking for persons with an advanced level university degree (Master equivalent degree) in any subject relevant to public health, project management or business administration. Three or more years’ experience in public health or non-profit administration, grant management, project management, donor relations management or fundraising are required. Previous experience in global health, antimicrobial resistance mitigation, and other projects focusing on determinants of health would be an asset.
Professional skills: - Project management including planning, problem solving, resourcing, allocating budget, monitoring, communication/dissemination and reporting
- Grant management including ability to review and monitor small/medium-sized budgets
- Demonstrated experience using project management tools
- Demonstrated writing, editing and communication skills
- Archiving of official communications
- Microsoft Office, including Word, Excel and powerpoint,
- Initiating and maintaining partnerships with a wide range of stakeholders
Personal qualifications: - Excellent organisational and administrative skills with demonstrated ability to successfully manage competing priorities
- Evidence of ability to multi-task and manage a fluctuating and at times heavy workload, including the flexibility to take part in two teams
- Strong verbal and written communication skills, including the ability to synthesise information conveying key points clearly and concisely
- Quick learner who can work with technical public health topics
- Ability to work across global teams
- Fluency in English (English is our working language)
- Proficiency in other languages i.e. French, Spanish and/or Arabic is desirable
- Proactive and self-motivated
- Flexible, creative and enthusiastic with pioneer spirit
- Responsible and solution-focused
- Strong interpersonal skills with evidence of having developed and maintained effective stakeholder/working relationships
- Ability to work independently as well as with teams.
- Interest in working with AMR mitigation in low and middle income countries
Terms of employment Salary and appointment terms will be based on the collective agreement between the Danish Ministry of Finance and the Danish Federation of Professional Associations (AC) (State employed Academics). Depending on your academic qualifications and job experience there is a possibility of being classified as a “fuldmægtig” (Grant Officer - 3-6 years of relevant job experience) or a “Special Consultant” (Grant Manager - 6 or more years of relevant job experience).
If you are living outside Denmark/Southern Sweden and not able to commute to Copenhagen on a daily basis, relocation is a requirement. In this case, there will be a add on to your base salary (5-8% depending on your classification), and you will be offered a relocation package consisting of expert advisory plus financial support to cover some of your moving costs. There are no special tax schemes or special benefits for foreigners working in Denmark.
