We are looking for a Project Coordinator for our client in the Pharma Industry. You will be responsible for providing comprehensive administrative and coordination support to ensure the successful execution of capex projects in our client. The role involves assisting the Project Director/Manager and project team with various tasks, including project documentation, scheduling, communication, and logistics. You will play a vital role in maintaining project organization, facilitating communication, and ensuring that project activities run smoothly.
Location: Greater Copenhagen area, hybrid.
QUALIFICATIONS & COMPETENCIES

- Experience: Minimum of 3-5 years of experience in a project assistant or coordinator role, preferably within large projects or capex environments.
- Technical Skills: Proficiency (or at least good knowledge) in project management software (e.g., MS Project, Primavera), office software (e.g., MS Office Suite), and document management systems.
- Organisational Skills: Exceptional organisational and time management skills, with the ability to manage multiple priorities and deadlines.
- Communication Skills: Excellent verbal and written communication skills, with the ability to effectively engage and influence stakeholders.
- Analytical Skills: Strong analytical and problem-solving abilities, with attention to detail and accuracy.
- Interpersonal Skills: Strong interpersonal skills, with the ability to work collaboratively within a team and build positive relationships with stakeholders.
- Adaptability: Ability to adapt to changing project requirements and priorities, maintaining flexibility in a dynamic work environment.
- Experience from pharma
- Valid EU work permit making you able to start right away
- Professional level of English - both oral and written
AREA OF RESPONSIBILITY
- Documentation Management: Maintain and organise all project documentation, including contracts, reports, meeting minutes, and correspondence
- As this is not yet fully implemented in the R&ED Division, there will be a need for creating/adapting documents needed in the project
- Filing Systems: Develop and manage efficient filing systems electronic, to ensure easy retrieval of project documents
- Meeting Coordination: Schedule, organize, and coordinate project meetings, including preparing agendas, taking minutes, and distributing follow-up actions
- Schedule Management: Assist in developing and maintaining project schedules, ensuring all tasks and milestones are tracked accurately
- Task Coordination: Coordinate and monitor the progress of project tasks, ensuring that deadlines are met, and issues are addressed promptly
- Internal Communication: Facilitate effective communication within the project team, ensuring that all members are informed of project updates and changes
- Stakeholder Updates: Assist in preparing and distributing regular project updates to stakeholders, including status reports and progress summaries
- Budget Tracking: Assist in monitoring project budgets, tracking expenditures, and identifying potential cost overruns
- Invoicing and Payments: Process invoices and payments, ensuring they are reviewed, approved, and recorded accurately.
- Risk Documentation: Assist in maintaining the project risk register, documenting identified risks and mitigation actions.
- Risk Monitoring: Monitor risk management activities, ensuring that mitigation actions are implemented and updated as needed
- Compliance Documentation: Ensure that all project activities and documentation comply with relevant regulations, standards, and best practices
- Event Planning: Assist in planning and organizing project-related events, workshops, and training sessions
- Project Management Tools: Utilise project management software and tools to assist in tracking project progress, resources, and documentation
- Data Management: Maintain accurate and up-to-date project data, ensuring data integrity and accessibility
